This Privacy Policy explains how Terahost Ltd (“we”, “us”) collects and uses personal data when you use
Billing Control (the “Service”).

2. Scope

The Service is intended for internal business use. It may connect to third-party platforms such as Intuit QuickBooks
and may process invoice and customer information to perform its functions.

3. Data We Process

Depending on how you use the Service, we may process:

  • Account data: user names, email addresses, role/permissions (if enabled).
  • Customer/business contact data: customer names, references/codes, email addresses (if present in your data).
  • Invoice data: invoice numbers, dates, line totals, tax indicators, status, and related identifiers.
  • Integration data: QuickBooks realm/company IDs, object IDs, and connection metadata.
  • Technical data: logs, timestamps, device/browser info, IP address, and security/audit events.

4. How We Use Data

We use data to:

  • import, store, and display invoice runs and operational status;
  • create/update records in QuickBooks on your instruction;
  • map internal customer references to QuickBooks customer records;
  • operate, maintain, and secure the Service;
  • diagnose issues and improve performance and reliability.

5. Legal Bases (UK GDPR)

We rely on one or more of the following bases, as applicable:

  • Legitimate interests (operating internal business tooling and accounting operations).
  • Contract (where a customer contract/order covers provision of the Service).
  • Legal obligation (accounting and record-keeping obligations where applicable).

6. Sharing and Disclosure

We may share data with:

  • Intuit QuickBooks when you connect the Service and request syncing/posting.
  • Service providers that host or support the Service (if applicable), under confidentiality and security obligations.
  • Authorities where required by law.

7. International Transfers

Third-party services (such as Intuit) may process data outside the UK. Where applicable, transfers are protected
using appropriate safeguards (for example, contractual protections and/or adequacy mechanisms used by those providers).

8. Retention

We retain data only as long as needed for the purposes above, including operational needs and compliance. Internal
invoice run data may be deleted by administrators within the Service. Where we must keep records for legal or audit
purposes, retention may be longer.

9. Security

We use reasonable administrative, technical, and organizational measures designed to protect data against
unauthorized access, loss, or misuse. No system is 100% secure.

10. Your Rights

Under UK GDPR (and other applicable laws), you may have rights including access, correction, deletion, restriction,

11. Cookies

The Service may use essential cookies/session storage to keep you signed in and operate core features. We do not use
advertising cookies in the internal Service by default.

12. Third-Party Links and Services

We may update this Privacy Policy from time to time. We will update the effective date above when changes are made.
