This website is run by Terahost ltd (trading as TeraHost), registered in England and Wales under company number 09462244. Our registered office is Suite E1, 8th Floor, St James’s House, Pendleton Way, Salford M6 5FW. For the purposes of UK data protection law, we are the controller of the personal information described below. Our ICO registration number is ZA104769.
What we collect and why
When you contact us
If you fill in a form on this website, we collect the details you give us: your name, company, email address, phone number, any other details the form asks for (such as number of staff or your postcode) and your message. We use these only to reply to your enquiry, provide a quote or arrange the service you asked about.
Form messages are sent to our team by email. They are not stored in the website’s database. Our lawful basis is our legitimate interest in responding to enquiries and, where you are asking about our services, taking steps at your request before entering into a contract.
If you call or email us
We keep a record of calls and emails so we can deal with your request and provide good service. Existing clients’ support requests are handled under the terms of their support agreement.
The TeraHost Defender game
If you play the game on our Cyber Security page and choose to save a high score, we store the name you enter (which can be a nickname), your score and the date. The top 10 scores are shown publicly on the leaderboard. Please don’t use your full name or anything that identifies you if you’d rather not. Your chosen name is also remembered in your own browser so you don’t have to type it again, and you can clear it at any time by clearing your browser data.
Spam and abuse protection
To protect our forms and leaderboard from spam, we create a short-lived, scrambled (hashed) version of your IP address so we can limit repeated submissions. The original IP address is not stored, and these records expire automatically within 24 hours.
Cookies
Our website does not use advertising or tracking cookies. Our fonts, images and videos are hosted on our own website, so visiting a page does not send your details to font or video providers.
If you log in to manage the website, WordPress sets essential cookies to keep you signed in. These are strictly necessary and are not used for any other purpose.

Links to other websites
Our site links to other websites, such as our technology partners, Google reviews, our client portal and our remote support tool. Those sites have their own privacy policies, and we are not responsible for how they handle your information.
Who we share your information with
We never sell your personal information. We only share it with trusted service providers who help us run our business, for example:
- our website hosting provider;
- Microsoft, which provides our email and business systems;
- our IT service management and client portal providers, if you become a client.
These providers act on our instructions and must keep your information secure. Some may store data outside the UK; where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.
How long we keep it
We keep enquiry emails for up to [2] years after our last contact with you, unless you become a client, in which case we keep records for as long as needed to provide our services and meet legal and accounting requirements. Leaderboard entries are kept until they drop out of the top 50 or you ask us to remove them.
How we protect it
We are Cyber Essentials certified and apply the same security standards we recommend to our clients, including access controls, multi-factor authentication, encryption and regular updates.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- object to or ask us to restrict how we use it;
- ask us to transfer it to another organisation, where applicable.
To use any of these rights, email info@terahost.co.uk. We will reply within one month. There is normally no charge.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
